Online Inventory Solutions Ltd are a successful London based company specialising
in inventory services to large estate agencies and property mamangement companies
across the South East. When first approached, OIS had no organised IT infrastructure,
and were handling upward of 200 property inventories per week. Documents were
printed and saved with no structure into whatever media was to hand. There was also
no method of cataloging inventory jobs by ID number.

"I remember the office was a mess. We had to carry our laptops to the printer
to print, and we could never find the correct documents on our computers because
we had no structure for naming them.”

After organising the office computers to be networked, the first phase Upthink began
by designing implementing an internal database application to track inventory jobs
and assign unique ID numbers to each job carried out. A file server was installed
to facilitate the storage of inventory documents into organised folders, which was
made simple by the nature of the ID number. Files could now be found, and printed
documentation could be related to job details on the computer.

The second phase was to make the job information available online for agencies booking
jobs, and for invnetory clerks who need to carry out the work. The online system
is now in its second release and is used daily by agencies across London to book
inventory jobs, manage past and future bookings and to download completed inventory
documentation. The inventory clerks also login to view the jobs they have been assigned.

In fact the move to make the data accessible online has transformed the business.
Clients no longer need to call to book jobs or to view the status of existing work.
They even go online to view their invoices.
